Job Description

The Program Management department is seeking a qualified and highly motivated Specialist to coordinate the planning, tracking and administration of specific projects within the life science field. In this role the candidate will work within a cross disciplinary team from different departments (as scientists, business and corporate staff ) to monitor, control and report programs in the complex scenario of the R&D area. Technical understanding of PM principles will be required to prepare and provide detailed Gantt charts to help the planning, controlling and reporting phases of projects, research and related expenses (materials and labour) supporting the work to monitor milestones, timelines, deliverables, resources and costs allocation to ensure that project goals are being met. He/She will work closely with the scientific, financial, administrative, and business development teams.

Key responsibilities:

  • searching, coordinating and overseeing the application for new opportunities and/or grants;
  • ensuring that all projects are delivered on-time;
  • overseeing all project funds, monitoring cash flow projections and reporting actual cash flow and variance to senior management on a regular basis;
  • preparing financial reports and supporting documentation for funders as outlined in funding agreements;
  • creating and maintaining comprehensive project documentation;
  • serving as a liaison with scientists, business developers and Corporate offices, to assist the flow and exchange of information
  • Regularly reports progress and any issues to more senior management
  • Analyzes requirements with the project sponsor/customer or senior colleagues, designs the implementation proposal, and evaluates the feasibility

Skills required

The successful candidate will be qualified with a Master degree or equivalent in scientific subjects (life science, chemistry, biology or engineering preferred), good knowledge of project management tools and have a minimum of 5 years relevant experience in the same role.
In addition to a sound knowledge of the management of National and International grants, candidates will need to show evidence of the following:

  • proven working experience as scientific project administrator;
  • proficiency with the Project Management’s discipline and best practices (PMP certification is a plus);
  • proficiency with computer and technology skills (including Outlook, PowerPoint, MS Word, MS Project and Excel) and ability to analyze large data set;
  • ability to work under pressure and to tight deadlines;
  • good/excellent level of written and spoken English;
  • discretion and an understanding of confidentiality issues.

The position will be based at IRBM’s headquarters in Pomezia (Rome), Italy
